General meetings must happen at least once per year and within six months after the end of the book year (by December 31st).
Types of Meetings
- Ordinary (Gewone): Annual meeting to approve budgets, membership prices, and bookkeeping.
- Extraordinary (Buitengewone): Can be called anytime by Dragons or 1/5th of members.
Announcement Procedure
- Timing: At least 15 days ahead of time.
- Channels: Discord and/or Email.
- Content: Location, date, hour, and full agenda.
- Member Input: Members can submit topics up to 2 days before if signed by 1/20th of members.
Proceedings
- Quorum: At least 1/2 of Dragons must be present or represented.
- Statute Changes: At least 2/3 of Dragons must be present or represented.
- Voting: Each Dragon has 1 vote. Chairman (Thane/Viceroy/etc.) is the tiebreaker.
- Representation: Must be delivered in writing to the chairman.
Required Roles
Each meeting needs a Chairman and a Secretary (in order of hierarchy: Thane, Viceroy, Secretary, Treasurer, Eldest Dragon).
